AUTOMATIC TRACKING

Budget app without linking your bank: how automatic expense tracking works

Most budgeting apps import transactions by connecting to your bank. You can get most of the same automation without sharing bank access: your phone already sees almost every card payment as an Apple Pay event, a bank text or a bank app notification.

Many budgeting apps ask you to connect a bank account. Behind the scenes, a data provider gets access to your account, either through your bank login or through an open banking connection you approve, and passes transactions and balances to the app.

When it works, it’s convenient. But there are trade-offs:

  • Coverage. Not every bank, card or country is supported. Small banks and many countries outside the US, UK and EU often aren’t.
  • Access. You give another company ongoing access to your financial data, and sometimes your bank credentials.
  • Reliability. Connections expire and need to be renewed, and transactions can arrive with a delay.

If any of these is a deal-breaker, there’s another way to automate tracking.

Your phone already learns about most card payments the moment they happen. An app can turn those signals into budget entries:

  • Apple Pay automations (iPhone). Since iOS 17, the Shortcuts app has a Transaction trigger that runs when you tap a card from Wallet. It can pass the amount, merchant and card to a budgeting app.
  • Bank texts. On iPhone, a Shortcuts Message automation can forward a payment text from your bank. On Android, an app can read the notification your messaging app shows for that text.
  • Bank app notifications. On Android, an app can read notifications from the apps you choose once you allow notification access. On iPhone, Shortcuts added a Notification trigger in iOS 27.
  • Quick manual input. Voice entries, receipt and statement scans and CSV import cover cash and anything the automation missed.

The app then extracts the amount, merchant and date from the payment message and suggests a category. Nothing here requires your bank login.

What does each method catch — and miss?

In practice, one automatic source covers most card spending. Add quick voice entries for cash, and you have a complete picture without a bank link.

Is it private and safe?

Without a bank connection, the app only sees the payment messages you send to it. A few habits keep it that way:

  • Filter by source. Pick only your bank’s sender or app, and add a payment keyword such as “Purchase”.
  • Use stop words. Messages with one-time codes or passwords should never leave your phone. In Budget AI, texts and notifications that contain a stop word are filtered on the device and aren’t sent to AI.
  • Know where AI runs. Recognizing a payment with AI means sending its text to an AI service. Budget AI asks for your consent first, and you can switch AI processing off at any time: payments then wait in the queue.
  • Keep data on your device. In Budget AI, accounts and transactions are stored on your phone; cloud backups to iCloud Drive or Google Drive are optional.

How do you avoid duplicates?

One purchase can produce several signals: an Apple Pay event, a bank text and a bank app notification. If all three are connected, you’ll get three entries.

Choose one source per payment. For example, track tap payments with the Apple Pay automation and use bank notifications only for a card you don’t keep in Wallet. After setup, check the first few purchases: if one appears twice, turn off one of the sources.

How do you set it up in Budget AI?

  1. iPhone with iOS 27 or later. Add the ready-made shortcut for Apple Pay, bank texts or bank notifications and allow its first run.
  2. iPhone with iOS 17–26. Create a Wallet or Message automation in Shortcuts and add the Budget AI action. The Apple Pay and bank SMS guides show each step.
  3. Android. Open Automatic tracking in settings, allow notification access, pick your bank or wallet apps and allow background activity. See the Android guide.
  4. First payment. Check the amount, category and account. Correct the category once, and Budget AI can remember it for that merchant.

Which method should you choose?

  • You pay with Apple Pay most of the time: start with the Apple Pay automation, then add bank texts or notifications for a card you don’t use in Wallet.
  • Your bank texts you about every payment: bank SMS works on both iPhone and Android.
  • You use Android: track bank or wallet notifications. For Google Pay purchases, use either Google Wallet or your bank’s notifications, not both.
  • You often pay cash: say it out loud. “Lunch $15, taxi $8” becomes two entries.

Frequently asked questions

Does automatic tracking see my bank balance?

No. It only sees the payment messages you route to the app. Account balances in Budget AI come from the transactions you record.

Will it work with my bank?

Most likely, if your bank sends a text or notification that includes the amount. Make one test purchase after setup to check.

What happens without an internet connection?

AI recognition needs the internet. On Android, payments wait in the queue and are processed when the connection returns. On iPhone, open Budget AI to process queued payments.

Can I still import my bank statement?

Yes. Upload a PDF, CSV or TXT statement to the scanner, or import a CSV file, and review the transactions before saving them.
